SPEAKER INSTRUCTIONS

Please read below the important information on preparing for your presentation.

The below details the different presentation types and length of presentation. Please note, Oral Presentations vary in length from 15 minutes to 30 for Keynotes and 45 minutes for Plenary (with all sessions including Q&A within their allocated presentation time).

Prior to preparing your presentation, checking the program is essential to confirm your allocated
time.

Please refer to presentation types listed below:

  • Plenary Presentation – 45 minutes in total (40 mins Presentation, 5 minutes Q&A)
  • Keynote Presentation – 30 minutes in total (25 mins Presentation, 5 minutes Q&A)
  • Oral Presentation – 15 minutes in total (12 mins Presentation, 3 mins Q&A)
  • Poster Presentation – please refer to the program for your poster number and instructions below

Session Room Set up

Sessions will be held in the Arena at the Newcastle Exhibition and Conference Centre (NEX), set up with open round tables (cabaret) with the following audiovisual equipment:

  • Data projector & screens
  • Lectern with mic
  • Laptop & clicker
  • Lapel (available on request)
  • Foldback screen positioned in view for the presenter
  • 2 x Q & A mics on stands for audience participation

 

PLEASE NOTE: if you wish to use a MAC laptop, please bring appropriate adaptors with you.

**  If you require anything beyond the standard setup listed above, please contact Event Studio via email VCSOIL2026@eventstudio.com.au to request additional AV and confirm availability.

POSTER PRESENTATION

The Conference will feature a Poster Presentation display area at the Newcastle Exhibition and Conference Centre (NEX). Posters should be no larger than AO portrait size i.e. 841mm wide [left to right] x 1189mm high [top to bottom]. Posters are displayed for the duration of the Conference.

Posters can be erected from 3:00pm on Tuesday 3 March 2026 and must be removed after the conclusion of the conference on Thursday 5 March 2026. All poster presenters should be alongside their poster during the scheduled breaks and poster sessions where possible.

Speaker Support

Speaker Support is available to presenters to upload your PowerPoint slides at the venue in Newcastle. Your slides will be networked to the room you are presenting in and available on the desktop when standing at the lectern to present. Uploading your slides at the speaker support room needs to be down in advance of your schedule presentation. We do not require your presentation in advance.

Please take note of speaker support times below:
• Tuesday 3 March – 3:00pm – 7:00pm
• Wednesday 4 March – 7:30am – 12:30pm
• Thursday 5 March – 7:30am – 12:30pm
