Conference Accommodation

To enhance your experience at the 2026 Variable Charge Soil Conference, we’ve partnered with select hotels in Newcastle to offer discounted rates for our delegates. These accommodations are conveniently located near the conference venue, ensuring easy access and a comfortable stay.

Please refer to the details below for information on participating hotels and the applicable discount codes. We recommend booking early to secure your preferred lodging, as availability may be limited.

Special rates for conference delegates have been negotiated by Event Studio and are available via the Conference registration form.

Accommodation is subject to availability at the time of booking. Rates are per night, room only, unless otherwise stated.

Block bookings held by the Conference Manager can be booked via the Conference registration process. This includes Holiday Inn Express Newcastle and Mercure Newcastle.

Bookings through the Conference Manager’s block are available until 28 January 2026. Early booking is recommended to avoid disappointment.

If you have already registered for the conference and wish to add accommodation, please email VCSOILS2026@eventstudio.com.au , quoting VCSOILS2026 Accommodation and your requested dates. Our team will advise availability and add the booking to your registration if suitable.

For bookings made through the Conference Manager, all changes must be requested in writing via email to VCSOILS2026@eventstudio.com.au.

Only guests who booked and paid directly with a hotel should contact the hotel for changes.

Each hotel has its own terms and conditions. Guests must read and understand individual payment and cancellation policies before booking.

Block bookings have been negotiated by the Conference Manager at select hotels near the Newcastle Exhibition & Convention Centre (NEX). Rates are specific to the conference dates and include breakfast only if specified. All prices are in Australian dollars (AUD) and include GST.

Payment Policy:

Credit card guarantee required to secure your booking at registration. Event Manager will forward credit card details to hotel 30 days prior to conference (28 January 2026). Full payment will be charged by the hotel.
Guests are responsible for paying any remaining balance directly to the hotel upon arrival/departure.

Cancellation Policy:

Up to 30 days prior (until 28 January 2026): No fee
30 days or less (from 29 January 2026): 100% of cancelled nights charged
No-shows: 100% of total accommodation stay charged
